Keeping on top of how much you’re owed, and who owes you what, is one of the key ingredients to business success.
You have two ways of seeing how much your customers owe you – try each one and see which you like the best:
The Business Insights menu: Go to the Business Insights menu in the bottom-right corner of any command centre and click the Customer Analysis option. (Or, for AccountEdge, select Receivables from the Analysis menu.) You arrive at a dashboard similar to Figure 4-1. In the top-left corner you see a snapshot of every invoice outstanding, with the oldest invoice listed first. In the bottom-right you see the total owed by each customer, grouped neatly month by month.
The Reports menu: If you go to the Sales tab of your Reports menu, you can choose between a few different Receivables reports. The Aged Receivables Summary report shows what you’re owed right now, whereas the Receivables Reconciliation Summary shows what customers owed you at a particular point in time in the past (great when reporting for the end of month or financial year).
With the latest versions of MYOB AccountRight, the Business Insights menu has replaced the old Analysis menu in the bottom-right corner. Although the Business Insights menu is much more glitzy and colourful than the old Analysis menu, I find that I can’t view my receivables as easily as I used to – the info is all squashed into one corner and I can’t drill down to view individual totals. I now tend to look at my receivables reports from the Reports menu (the Aged Receivables Summary is the report I usually find best).
By the way, if you find that your Receivables report doesn’t include amounts customers owed you before you started using MYOB, then this means you haven’t set up customer opening balances yet. For the details on how to get started, turn back to Chapter 1.
Maybe your Receivables report already gives you all the info you need, but just in case it doesn’t, check out these tips:
If you want to see how much customers owed you on a date that’s already passed (perhaps your accountant wants a Receivables report for a previous month), then the regular Analyse Receivables report isn’t the one for you. Instead, go to Reports and print a Receivables Reconciliation Summary.
If your Receivables report doesn’t include a total at the bottom, chances are that you have multi-currency switched on in your company file. The solution? Go to the Customise button and select AUD as the currency. You need to display this report one currency at a time in order to view column totals.
If you’re working with the Business Insights dashboard, remember you can click on any column label to sort by that column. For example, click the Total Due column to show the customer who owes the most at the top of the list, click the Invoice No column to sort by invoice number, or click the Overdue Days column to show the most overdue invoices at the top.

It’s really easy. Follow my lead:
- With your customer’s payment in hand, go to the Sales command centre and select Receive Payments.
- Enter the customer’s name in the Customer field, fill in the Date and write the amount in the Amount Received field.
- Decide whether you want to deposit this payment straight into your bank account, or whether you want to use the undeposited funds feature.
In the top-left corner of each window, you can choose between depositing customer payments into your choice of bank account or grouping customer payments with undeposited funds. This is a rather momentous decision, so if you’re at all unsure, see ‘Grouping Customer Payments’ later in this chapter. - Select the Payment Method.
To add a new Payment Method to this list (maybe one called Direct Deposit), type the description in the Payment Method field, press Enter and click New. If you want to print bank deposit slips and a customer pays by cheque, click the Details button to record the customer’s BSB and Account Name. - Press the Tab key again and again, with passion and abandon, until the Amount Applied column is complete.

- Click Record.
That’s all there is to it.
Here are a few more illuminating comments to help you become an expert in recording customer payments:
Ignore the ID No. field. This is just a number that keeps auditors happy.
You can ignore the Memo field too, if you like. Just accept whatever message is offered (in my book, the less typing, the better).
If you trade regularly with a particular customer, save time by going to the Payment Details tab on the customer’s card and recording the customer’s preferred payment method and, if they pay by cheque, their BSB and Account Name. That way, these details will appear automatically every time you receive a payment from the customer.
To record payments when customers deposit dosh straight into your bank account, click Deposit to Account in the top-left corner and select the correct bank account (don’t click Group with Undeposited Funds).
W If a customer pays all outstanding invoices in one hit (don’t you just love that?), cut a few corners by just entering their name in the Customer field and then clicking the Receive All button in the bottom left.
